Accessing Administrative Options

Point your browser to the web page where you have installed Rentventory. Just right after the installation, you will be automatically redirected to the login screen. Otherwise please click the "Admin" link at the bottom of the page. You will be transferred to the login form, please enter the admin username and the password you chose in the setup procedure to access the administration panel.

Configuration & Settings

Rentventory provides a number of configuration options to help you tune the software exactly to your specific needs. To access the configuration options, please click the Settings menu item.

Configuring Pricing Levels

Settings >> Pricing Levels. This setting allows you to configure the pricing level options that depend on the rental duration. The exact pricing per day is then configured per product.

Price View Configuration

Settings >> Price Format. This option allows you to adjust the price format according to your local preferences.

No Price Needed?

If you are offering rentals without online pricing information, you can easily disable the price display, just go to Settings >> Disable Price

Notification Emails Configuration

Rentventory sends out automatic notification emails on various actions. In Settings >> Email Settings part you can set the return email address and the sender name of these automatic emails.

As you complete the initial configuration, it is time to fill in your inventory. As an example, we will configure Rentventory for an imaginative ABC Baby Equipment Rentals company website.

Inventory

Click the Inventory menu item to proceed. Rentventory provides the categories options if you have quite many products to offer, or you can simply have them all in one list if you have fewer.

Manage Product Categories

If you need categories, please go to Inventory >> Create Category and make your product categories. For our ABC Baby Equipment Rentals we will make Sleeping, Eating, Walking, and Beach categories.

Manage Products

Now it is time to fill in information about our products. It will be the most time consuming part of our configuration. To create a new product, we go to Inventory >> Create Product.

The new product form appears.

  • Choose a category for this product, or leave Uncategorized if you prefer to have all the products in one list.
  • Enter the new product name. For example, Baby Bed or Full Size Stroller.
  • Provide the total number of these items that you have available.
  • Enter the description of product. You can freely use any HTML code in this field, thus you can link your product images from your website.
  • Configure the rental rules for this product, like Min/Max Rental Period, Min/Max Time From Now for advance rentals, Lead-In/Out if you need some time before or after rental.
  • Configure the pricing per day for this product depending on the rental duration according to pricing levels defined in Settings.

After you have configured your products, your Rentventory online system is now ready to work for you.

Managing Rentals

Now your customers will be able to browse your products offerings, choose rental dates and request rentals. As new rental request arrives, you will receive an automatic notification to your email. You will need to approve or reject new rental requests. To manage pending rentals, please go to Rentals >> Pending. If you decline a rental, it is deleted. If you approve one, it goes to the To Deliver list.

Now in the To Deliver list there are rentals that are approved and will be picked up by customers. They are sorted by the start date. As soon as the customer picks up the rented product, you need to click the Set Delivered link to mark the product that it is on rent now. After this action, the rental goes to the On Rent list.

On Rent list gives you the rentals that are picked up by customers, they are sorted by the due date. As soon as the customer returns the product, you will click the Set Returned link thus marking the product that it is again available for another rental.

Front End Experience

Rentventory is very easy and straightforward for your customers. All they need to do is to choose the product from your offerings, then select start and end dates of the rental.
